INSTRUCTIONS FOR MODERATORS

BASIC RULES

 
  1. The standard time allocation is 10 minutes for presentation (pre-recorded presentation video) and 8 minutes for Q&A, and the end time MUST be strictly observed. The online meeting room staff will handle the video.
  2. Presenters who have not submitted the video files for the presentation are allowed to present using their own PPT slides.
  3. Enter the online meeting room 5 minutes before the start of the session with the Zoom screen name “C: Name” (e.g., C: Masaaki Fuse).
  4. If there is extra time available in a session due to few presenters, you can modify the time allocation at your discretion.
  5. If you decide to modify the standard time allocation, please inform about the modification to the online meeting room staff and the presenters before starting the session.
 

WHAT YOU NEED TO DO IN THE SESSION

 
  1. Check that all presenters participate in the session 5 minutes before the start time.
  2. Turn on your camera, microphone, and chat before starting the session and announce it to the audience.
  3. Instruct the presenter to turn on the camera and instruct the online meeting room staff to play the video file for the presentation.
  4. Start the Q&A session for each paper after the pre-recorded presentation video has ended playing.
  5. Online meeting room staff will indicate “End in 1 minute” and “Just now end”. Please close the Q&A session when “Just now end” is shown.
  6. After finishing all presentations, please announce to the audience about closing the session.

  2. Enter the Online Meeting Room 5 minutes before the start of the session with the Zoom screen name “P: Name” (e.g., P: Masaaki Fuse).
  3. Prepare the PPT file of your presentation that will be used in the Q&A session.
 

WHAT YOU NEED TO DO IN THE SESSION

 
  1. Stand by in the online meeting room and wait for the chairperson’s instructions.
  1. Stand by with your camera on and your microphone off while your pre-recorded presentation video is played.
  2. During the Q&A session for your presentation, please turn on your camera and microphone, and answer the questions by sharing the PPT file.
  3. Finish answering the questions following the chairperson’s instructions and turn off your camera and microphone.
